I know that many of you communicate by email as opposed to picking up the phone, or visiting a co-workers cubical, and while this seems efficient, it has come to my attention that some changes are needed. Starting today, email will only be sent formally. For example, if you create a memorandum for multiple people and craft it on a separate paper, and then cut and paste the text into an email, that is acceptable. However, informal email, will no longer be a part of XYZ. I take this step because I have been thinking about the loss of corporate culture as a result of heavy use of email. It is almost comical that someone sitting next to you receives an email from you as opposed to you just ducking your head into their cubical and letting them know a piece of information. I can certainly see that email is more efficient, provides a paper trail, and seems logical, but there are problems with this. I recently read an article by well-known "emotional intelligence" author Daniel Goleman (2007) who contends that email can sometimes be "emotionally impoverished" (p.BU17). It is well known that e-mail is not as expressive as other forms of communication. One cannot express emotion in email, which is why we use emoticons. Of course, in formal messages, the emoticons are often not used. Additionally, some people simply do not use them. Thus, messages may be misinterpreted. This is one part of the new policy. Emails should only be used for formal purposes. Another reason I am implementing this policy is that I would prefer people to gather around the water cooler to chat as they did years ago.
